This Privacy Policy explains how easykare collects, uses, discloses, and protects information when you visit our website, create or use an account, book services through an easykare-powered page, communicate with us, or receive messages delivered through the platform.
Important compliance notice
easykare is not HIPAA compliant at this time and does not offer a Business Associate Agreement (BAA).
If you are a provider or practice that must use a HIPAA-compliant platform or have a signed BAA in place before collecting, storing, transmitting, or processing protected health information (PHI), do not use easykare at this time.
1. Scope and role of easykare
easykare is a software platform for solo wellness professionals and related healthcare adjacent practices. We provide website, booking, messaging, intake, payment, and practice-management tools to practitioners and their authorized staff.
In many cases, practitioners control the client and patient information they collect through easykare. When we process that information on a practitioner's behalf, we act as a service provider, processor, or business associate depending on the legal framework that applies. If you are an end client or patient of a practitioner using easykare and you have questions about appointment records, intake responses, treatment notes, or other care-related information, you should contact that practitioner first.
easykare is not currently marketed or offered as a HIPAA-compliant service, and we do not provide a BAA at this time.
2. Information this policy does not cover
- A practitioner's independent privacy practices outside the easykare platform.
- Protected health information handled directly by a practitioner as a covered entity or healthcare provider.
- Third-party websites, apps, or services that are linked from or integrated with easykare but governed by their own notices.
3. Information we collect
We may collect the following categories of information:
- Account and business information such as name, email address, phone number, business name, role, login credentials, and subscription details.
- Booking and client information such as contact details, appointment preferences, intake submissions, consent status, and communications metadata.
- Payment and billing information such as subscription status, invoices, payment events, and transaction metadata supplied by payment processors.
- Communications information such as support messages, email correspondence, SMS delivery records, and call or chat history where offered.
- Device and usage information such as IP address, browser type, device identifiers, operating system, referring URLs, pages viewed, and timestamps.
- Marketing and form-submission information such as newsletter signups, demo requests, waitlist forms, and survey responses.
- Consent records, including the date, time, source, and disclosure text version presented when messaging consent is collected.
4. How we collect information
- Directly from you when you complete forms, create an account, book an appointment, contact support, or otherwise submit information.
- Automatically through cookies, logs, analytics tools, and similar technologies when you use our website or platform.
- From practitioners and authorized staff who create or manage client records on the platform.
- From service providers and integration partners such as payment processors, authentication providers, messaging providers, scheduling systems, and hosting vendors.
5. How we use information
- Provide, maintain, secure, and improve the easykare website and platform.
- Create and manage practitioner accounts, subscriptions, and billing relationships.
- Enable booking flows, reminders, intake delivery, payment collection, and client communications.
- Authenticate users, prevent fraud, investigate abuse, and enforce our agreements.
- Respond to support requests, send service notices, and communicate operational updates.
- Analyze usage, troubleshoot performance, and improve reliability, accessibility, and product design.
- Comply with legal obligations, resolve disputes, and protect rights, safety, and security.
6. AI-assisted features
easykare may offer AI-assisted features such as receptionist flows, note drafting, summarization, and client intelligence tools. Information submitted through those features may be processed by AI infrastructure providers acting on our behalf. We use those providers to operate the requested feature, not to sell user data.
Practitioners remain responsible for reviewing AI-generated content before relying on it clinically or sending it to clients. We do not use personally identifiable client data to train public foundation models.
7. SMS privacy disclosures
easykare and participating practitioners use SMS for transactional communications such as appointment confirmations, reminders, scheduling changes, intake reminders, invoices, and payment receipts.
- Message frequency varies based on appointments, billing activity, and communication preferences.
- Message and data rates may apply according to the recipient's mobile carrier plan.
- Recipients can reply STOP to opt out or HELP for help.
- SMS consent is not a condition of purchase.
- Mobile opt-in data, consent records, and phone numbers are not shared with third parties or affiliates for their own marketing or promotional purposes.
We may disclose mobile numbers and SMS metadata to communications providers strictly as necessary to deliver the requested messaging program and maintain suppression lists, fraud controls, and compliance records.
8. When we disclose information
We may disclose information in the following circumstances:
- To service providers that host, secure, support, analyze, message, authenticate, or otherwise operate the platform.
- To payment processors and financial service providers in connection with subscriptions and practitioner payment flows.
- To practitioners and their authorized staff when they use easykare to manage their client relationships.
- In connection with audits, legal process, law enforcement requests, or compliance obligations where disclosure is required or reasonably necessary.
- In connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to appropriate confidentiality protections.
- With your consent or at your direction.
We do not sell personal information, and we do not disclose mobile opt-in data for third-party direct marketing.
9. Cookies, analytics, and similar technologies
We and our service providers may use cookies, pixels, local storage, server logs, and similar technologies to remember preferences, understand how users interact with the site, improve performance, measure campaign effectiveness, and support security.
You can manage many browser-based controls through your device or browser settings, but disabling certain technologies may affect site functionality.
10. Data retention
We retain information for as long as reasonably necessary to provide the platform, maintain records, comply with law, resolve disputes, enforce agreements, and preserve audit and security logs. Retention periods vary based on the category of data, the practitioner relationship, applicable law, and whether the information relates to healthcare, billing, security, or messaging compliance.
In some cases, we may anonymize or de-identify information so that it can no longer reasonably be linked to an individual, in which case it is no longer treated as personal information under this policy.
11. Security
easykare uses reasonable administrative, technical, and physical safeguards designed to protect information from unauthorized access, loss, misuse, alteration, and disclosure, including encryption in transit, access controls, logging, and role-based restrictions. No system can be guaranteed to be perfectly secure, and you share responsibility for protecting your account credentials and devices.
12. International transfers
easykare may process information in the United States, Canada, and other jurisdictions where we or our service providers operate. Those jurisdictions may have privacy laws that differ from the laws of your home jurisdiction.
13. Your choices and rights
- You may update account information through your profile or practitioner settings when available.
- You may opt out of marketing emails by using the unsubscribe link in those messages.
- You may opt out of SMS by replying STOP and request assistance by replying HELP.
- Depending on your jurisdiction, you may have rights to request access, correction, deletion, or a copy of certain personal information, subject to legal exceptions.
- If you are an end client or patient and your data is controlled by a practitioner, we may direct your request to that practitioner because they control the underlying record.
14. Children
easykare is intended for practitioners and adults booking wellness or healthcare-related services. We do not knowingly collect personal information directly from children in a manner that requires parental consent unless a practitioner has independently collected and submitted such information in connection with care or booking activities.
15. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, services, or legal obligations. We will post the updated version on this page and revise the effective date above. Where required, we will provide additional notice of material changes.
